Key Characteristics of Good Quality Management Systems



QMS or quality management systems can become burdensome and highly inflexible if not implemented, developed or maintained properly. Effective systems have several common features. The quality denominators mentioned below, when implemented properly, can enhance your company's ability to manage your products and processes and satisfy your customers more efficiently. 

  1. The quality objectives and quality policy are defined and deployed across the organization and correctly understood by employees at every level.
  2. All processes have been documented in simple procedures while responsibilities of employees are established.
  3. Resources to achieve objectives are correctly recognized and provided. The resources can include processes, people, infrastructure and equipment.
  4. Metrics are monitored and established for every process. If a process is not measured and monitored, how can team leaders and managers know if it is creating the desired results? Several organizations fail to establish standards for measuring and monitoring processes because of which inefficiencies develop, making it hard to implement corrective actions that actually work.
  5. A process for avoiding non-conforming services or product is in place. For non-conforming products, there is a procedure to segregate and identify to stop it from getting to a client.
  6. Continuous improvement is a major concern and easy approaches are applied to involve people across the organization to identify opportunities for continual improvement.
  7. The management of a company is involved and reviews the whole system at suitable intervals to make sure the system is working as planned, is good for business and is maintained properly.
  8. A plan for process and product verification is functioning as planned. This comprises of product quality verification and internal audits at every stage of production.
